JOB TITLE:  Administrative Assistant                                                                   ADM/4

DEPARTMENT:  Administration, White County

JOB SUMMARY:  This position is responsible for providing receptionist and secretarial support to the department and the HR Director.

MAJOR DUTIES:

o   Serves as receptionist for the office; answers the telephone, receives calls for office staff, relays messages, and transfers calls to other departments.

o   Provides assistance to public as needed.

o   Provides secretarial and administrative support to the County Manager, County Clerk and HR Director by typing memoranda, reports, and correspondence.

o   Develops, maintains, and troubleshoots various electronic spreadsheet files.

o  Develops, maintains, and troubleshoots various electronic databases including Hotel/Motel Taxes, Boards and Commissions, Occupation Taxes, and Applications Received.

o   Collects Hotel/Motel and Occupation Taxes, prepares past due notices and certificates, and maintains records of revenue collected.

o   Prepares deposits of all monies received by department.

o   Prepares various monthly reports for County Manager, County Clerk, and HR Director.

o   Types, files, and coordinates the dissemination of correspondence for office staff.

o   Processes incoming and outgoing mail for the office.

o   Performs duties of  Deputy County Clerk as may be occasionally required.

o.  Performs other related duties as assigned.

KNOWLEDGE REQUIRED BY THE POSITION:

o   Knowledge of modern office procedures.

o   Knowledge of the basic operations of county departments.

o  Knowledge and proficiency in the use of Microsoft Office.

o   Knowledge of department policies and procedures, as well as relevant county policies and procedures.

o   Knowledge of basic bookkeeping practices.

o   Skill in organizing work and in setting up accessible files.

o   Skill in operating office equipment such as a computer, calculator, facsimile machine, copier, document scanner, switchboard, and typewriter.

o   Skill in performing basic mathematical calculations.

o   Skill in dealing with the public.

o   Skill in oral and written communication.

SUPERVISORY CONTROLS:  The County Clerk assigns work in terms of general instructions.  The supervisor spot-checks completed work for compliance with procedures, accuracy, and the nature and propriety of the final results.

GUIDELINES:  Guidelines include relevant department rules, county policies and procedures, and supervisory instructions. These guidelines are generally clear and specific, but may require some interpretation in application.

COMPLEXITY:  This position consists of related receptionist, secretarial, and administrative duties.  The variety of duties performed contributes to the complexity of the work.

SCOPE AND EFFECT:  The purpose of this position is to provide receptionist and secretarial support to the department.  Successful performance contributes to the smooth operation of the department and enhances the public image of the county.

PERSONAL CONTACTS:  Contacts are typically with co‑workers, elected officials, employees in other county departments, and the general public.

PURPOSE OF CONTACTS:  Contacts are typically to give and exchange information and provide services.

PHYSICAL DEMANDS:  The work is typically performed while sitting at a desk or table.

WORK ENVIRONMENT:  The work is typically performed in an office setting.

SUPERVISORY AND MANAGEMENT RESPONSIBILITY:  None.

MINIMUM QUALIFICATIONS:

            o   Ability to read, write and perform mathematical calculations at a level commonly associated with the completion of high school or equivalent.

            o   Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an               
                 apprenticeship/internship or having had a similar position for one to two years.
